Executive Assistant (Shanghai)
REPORTS TO: Senior Vice President, Asia Pacific
Job Description
To provide support to the Senior Vice President, Asia Pacific , in the day to day management of Deckers business, which including both administrative and organizational tasks. Develop and maintain productive, effective, and professional relationships with employees, business partners and others. Represent the company in a positive and supportive manner at all times.
Duties and resonsibilities:
- Manage calendar, handle frequent changes in schedule, prepare agendas/minutes/presentation slides etc
- Handle and oversee travel arrangements including but not limited to making travel bookings and preparing detailed itineraries
- Regularly prepare and reconcile business expenses, verify documentation, obtain approvals and submit for payment
- Consolidate routine business reports (Bizo, QBR etc,) whilst enhancing the format for efficiency
- Organize meetings and schedule Outlook appointments with internal and external professionals, eg.
- Provide overall administrative support, coordinate Town Hall, Bizo, QBR etc, and follow up the progress of the tasks assigned
- Support the event planning and management meeting
- Centralize all the contracts and request form for company stamp
Qualifications
Education & Any Certifications Required:
- Bachelor’s degree or above.
Year(s) of Experience & Background Required:
- 2-5 years of EA experience preferably within a fast-moving commercial environment
Functional & Technical Competencies:
- Fluency in English
- Proficiency and excellence in MS Office
- Excellent verbal and written communication skills
- Strong time management and multi-tasking skills.
- Strong organizational, communication, and interpersonal skills.
- Demonstrate high level of professionalism, discretion, confidentiality, responsiveness, customer-focused attitude.
- Good learning agility is preferred.
